Job Description

The Accounts Payable Specialist supports the day-to-day financial operations of the organization by managing vendor payments, ensuring accurate record-keeping, and maintaining compliance with non-profit accounting policies and grant requirements.

Responsibilities

  • Process vendor invoices, employee reimbursements, and credit card transactions in a timely and accurate manner.
  • Review invoices for proper coding, approvals, and compliance with grant or funding restrictions.
  • Maintain the AP ledger, ensuring accurate documentation and audit-ready files.
  • Reconcile vendor statements and resolve discrepancies.
  • Prepare weekly or bi-weekly payment runs (checks, ACH, or wire).
  • Assist with month-end close activities, including accruals and expense reconciliations.
  • Support annual audits by organizing AP records and responding to auditor requests.
  • Maintain strong vendor relationships and provide timely communication.
  • Ensure compliance with internal controls and non-profit accounting policies.

Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
  • 2+ years of accounts payable experience; non-profit experience a plus.
  • Knowledge of fund accounting or grant compliance preferred.
